Our process

One process. Every call.

With more than 20 years of experience, Show Masters runs every project through the same four stages, from the first conversation to the final invoice. Here is what happens at each one, and who is accountable for it.

Stage 1 of 4

Define your mission.

We discuss your event requirements, location, crew roles, schedule and technical needs, and prepare a project estimate.

  • Our administrative team responds quickly when an order is placed or changed.
  • We assess onsite details, logistical considerations, cost-saving opportunities and the exact positions and skills your event needs.
  • Orders that include technicians receive a technical assessment to set needs and pricing.
  • Every project receives an estimate to confirm details and support your budget.

Build your team.

We select qualified crew and the right onsite leaders through our own selection process, hand-picked for your project.

  • Leadership is chosen first, to fit your project.
  • Crew are booked on skill strength and merit rather than seniority.
  • Technicians are vetted and selected against the technical assessment.
  • We never build your crew from job boards, cattle calls or outsourcing.

Execute with confidence.

Your Crew Lead coordinates the onsite work, the crew and the communication, and keeps approved records of every call.

  • Our stagehands are paid as Show Masters employees, and a dedicated Crew Lead manages them onsite so you don't have to.
  • Your Crew Lead works with you on breaks and shift changes to keep the schedule on track.
  • The crew works as one team and moves between departments as the job requires.
  • Hours are logged onsite and signed off by you after each call.
  • Daily cost reports are available so you can track costs as the job progresses.

Close with clarity.

We review the completed work, confirm the approvals and prepare detailed billing records.

  • You receive an itemized, detailed invoice with no surprise fees. Our goal is to deliver it within 72 hours of job completion.
  • Feedback from you and our project managers is recorded to prepare for your next event.
  • We keep track of your favorite crew members so they can return on future projects.

Accountability

Built into every call.

The same commitments hold whether the job is one breakout room or a multi-day general session.

  • All-inclusive rates

Workers' comp and general liability insurance, payroll taxes, unemployment and ACA compliance are built into the rate. No administrative percentages or added fees.

  • A Crew Lead on every shift

One onsite point of contact who manages crew pace, performance and paperwork.

  • Hours you approve

Time is logged onsite and signed off by you after each call, so the invoice holds no surprises.

  • Rates by market

Each market has its own rate schedule, with clear field and billing guidelines.
